This tutorial document will give you a quick overview of how Gmail works to make your life easier. How is Gmail
different from Lotus Notes? Refer to the Life after Lotus Notes document to review what’s different (page
numbers have been added).
This tutorial will focus on using the basic Gmail features.
Learn how to:
● Create a Google Account (Signing up with Google)
● Compose a message
● Format a message
● Search option
● Chat in Gmail
● Add labels
● Print
● Go to Google Docs
Step 1: Signing up with Google
A. Go to http://www.gmail.com. You should see the screen below:
B. If you already have a Google account, sign into Google Docs with your Gmail login name or Google
Account username and password.
Otherwise click on Create an
account to sign up with
Google:
C. Fill in all of the required form
fields to sign up for the
account, read through the
Terms of Service, and click on
I Accept. Create My Account.
D. Choose how you will appear in
Google. You can include a
photo and update it anytime.
E. Once you login this is what you may see on your screen:
F. Click Gmail this will send you directly to your Gmail account.
G. Once you click Okay, you will
be in your Inbox. You should
see a list of any messages
you’ve received. If this is your first time logging in you will have received three messages from the Gmail
Team.
H. Unread messages are Bold and Highlighted. Click on the text of the message you want to open.
Step 2: Compose a message (refer to Life after Lotus Notes pg. 2)
A. To begin a new message, click Compose
B. A new message will appear in the lowerright of
your Gmail window. To minimize the new
message click Hold the Shift key and click
to move the message into a new window.
You can resize the message window and move it
around the screen.
C. The To field is for Recipients receiving the
message.
Draft
If you happen to close the message window box, message
will be saved in Drafts inbox
Step 3: Format message (refer to Life after Lotus Notes pg. 3)
A. To format the text of your message, click the to expand your formatting options.
Add a file attachment, image, or link (refer to Life after Lotus Notes pg. 4)
A. To add a file, insert a picture, document, emoticon, calendar invite, or creating a hyperlink, click on the
paperclip or + and start to browse for the file on your computer. The attached file will appear at the
bottom of the message.
Another way to attach files is by dragging and
dropping them into the body of the email.
B. To remove an attachment, just
click the X.
C. To discard a draft, click on the
trash can icon.
Send a message
To send a message, click Send. A message will appear notifying you that the message was sent.
Note: If you happen to exit out of a message and are not finish don’t worry, a draft is automatically saved in
your Drafts folder.
Reply to a message (refer to Life after Lotus Notes pg. 6)
You can reply to just the sender or to all recipients of a message.
A. Open the message. If the message is part of a conversation, open the conversation you want to reply to.
B. If you want to reply to just the sender, click Reply. If you want to reply to all recipients, click Reply to all.
Note: The Reply to all option will not appear if the email was sent only to you.
C. Enter your reply in the message field and click Send.
Forward a message (refer to Life after Lotus Notes pg. 7)
You can forward just a single message in a conversation, or an entire conversation.
A. Open the message, click Forward at the bottom of the message.
Conversations (refer to Life after Lotus Notes pg. 5)
By default, replies to messages are grouped into conversations. A conversation keeps all messages in a thread
together, this reduces inbox clutter.
Note: The number of messages in a conversation appears next to the sender name.
Delete Message
A. To delete an entire message, click in the box next to the message you would like to delete. A check
mark will appear in the box, click the trash can icon.
B. To delete a single message in a conversation, choose the message you would like to delete and click on
the downwards arrow then select delete.
Step 4: Search Option (refer to Life after Lotus Notes pg. 9)
With the power of Google search right in your inbox, you can find what you are looking for. Gmail does not
include message from Spam or Trash in its search results unless you ask it to.
A. Type the person’s email address or a keyword in the search box. Gmail will make predictions of what
you’re looking for.
B. If you get too many results, you can narrow
them down by filling in the search fields.
C. To find messages from a specific time
period, select a date range.
D. Gmail doesn’t recognize special characters
like brackets, parentheses, asterisks, etc.
Step 5: Chat in Gmail
Gmail is not just for email. Communicate with others
in realtime by using the chat feature in Gmail.
A. Click on the chat icon
B. You can chat face to face with up to nine people and call phones.
C. Identify whether your friend is online. A green dot next to the name
indicates that this person is online (yellow if they are busy, red if
they are offline or invisible.
Step 6: Add Labels (refer to Life after Lotus Notes pg. 10)
Organizing your inbox is a great way to improve productivity and usefulness of your emails. Labels help you
organize your messages into categories. Only you can see your labels.
A. To create a new label, click More. Under the categories section click Create new label.
B. Type the name of your new label and click Create.
Apply Label
In your inbox, select the checkbox next to those messages, click the Labels button and then select the
label you want.
Change Label settings (refer to Life after Lotus Notes pg. 14)
A. To control some of the settings for your labels, click on the Gear icon select Settings,
then Labels.
Step 7: Print
Print a single message or an entire conversation.
A. Open the message or conversation. In the upper right of the message, click the Print all icon
B. Use your web browser's Print options to print the message.
To print a single message with a conversation
A. Open the conversation and select the message you want to print.
B. In the message, click the down arrow to the right of the Reply button, and then click Print
Step 8: Go to Google Docs
Google Docs is a free online program that allows users to create
documents and share them with others for collaboration.
A. In your inbox, locate the apps icon on the upper right
hand corner.
B. A pop down menu will appear. Click on Drive.
C. Click on the Create button.
For the purpose of this tutorial we will select the Document option.
Google will open a new window that will allow you to create a word
document.
