Chapter 1

THE PROBLEM

Introduction

  The technology brings advance improvements on our lives, according to

McGraw-Hill it is said that Eighty one percent of the student uses technology in the

whole world. It means that eight out of ten people uses technology to help their

learning and brings a new experience to their knowledge. Manila Times reported that

Seventy five percent of the student in the Philippines is using technology in every

school to enhance the learning experience and by the help of technology, it applies for

every Faculty, instructors, and administrators in every college in the Philippines as for

it can help to be efficient in their work.

A thorough evaluation assesses the technology and its device’s value from

technical, market users’ perspectives and reconciles the results within a valid

methodology. Technology transfer and it is best utilized in screening new ideas,

assessing innovative or not innovative technologies. In other word, it’s a powerful

way for an organization in examine new ideas, identifying and analyze causes or

potential change, develop and plan possible solutions and finally select and implement

the proposal technology. Through this step, we think this program will be possible

and reliable.

Especially at Misamis Oriental Institute of Science and Technology (MOIST)

where it has over Three thousand five hundred plus of students that are in College.

Having a large population of students which is so hard to enroll during times of the

enrollment days. Most of the students are tired standing and falling in line on the

registrar’s hall way. It takes Three to Eight days to get fully enrolled which is a waste

of time. Most of the students are live as far as fifteen to twenty kilometers away from

the school.

This program will be helpful for the employees to make their work more

easily and also to save the time of the students who are going to enroll in school. This

is “(Electronic Dean’s Evaluation)” the function of this program is to evaluate each

subjects and grades of the students who are currently nor under the Dean’s course.

To ensure every student will have a concrete subject to take up to, for this

program the user can see the grades of the students and also it's every subject that has

been passed. However, the user (Dean) can't manipulate or can change the grades on

the student where the user only has the power to evaluate the subject of the student.

And it's different in the instructor where the instructor would need to get the

permission both dean of the department and the registrar to access the system in order

to edit the grades that have failed to input.

By getting this kind of security the student will have more security on their

grades where the student can check if its grades have been there or not. The student

can't always have to go back set. Its time consuming to go back and forth several time

to get grade/evaluated.

Statement of the Problem

Currently Misamis Oriental Institute of Science and Technology relies on the

manual inputs regarding on evaluating subjects of the students through MS Excel and

keeping hardcopy in a long envelope in which is not secure for the students and also

it’s getting confusing on who will the students get evaluated to if it is in the registrar

or in the dean.

Specific Problems

1. The dean on each department can only check the grades of the students but

it doesn’t have the power to finalize the students to take the next subject on

the next semester. It has to go through the registrar to be finalized.

2. They don’t get the exact or specific number of student’ enrolled in each

program conveniently and cannot easily check the status of every student.

3. Registrar gets burdened when flocks of student get there for enrollment at

the same time.

Objectives of the Study

To make the “Computerized Departmental Evaluation of MOIST” to minimize

the workload on the registrar office and can also save time for the students to be

enrolled.

1. To evaluate students prospect subject.

2. To input grades provided by the subject

3. To inform the deans on enrollment status/numbers/statistics.

4. To promote sense of security among students.

Significance of the Study

This program is so great important for the employees and students who are

under a hard time in the old enrollment system. The program is going to make their

time save and also to save their allowance which is given by their parents or for

working students. This program will make the enrollment of the students faster.

Another significance on this study is that it can minimize the workload on the

registrar regarding the evaluation of the students and the dean of every department

cannot worry that the student will flock on him just to get evaluated, it is because the

acting dean or its secretary can also use if permitted on the deans to have an access to

the program if the dean have some matters to attend to.

Lastly, since the program is a user friendly it can be learned easily to see on

what subject students can enrolled to just by searching their ID number.

Scope and Limitations

This scope on the study only covers to the deans on each college department in

Misamis Oriental Institute of Science and Technology (MOIST). The program

entitled “Computerized Departmental Evaluation of MOIST” can access from

freshmen to senior information’s, can check on grades, and take up subjects available

on prospectus.

Definition of Terms

MOIST – Misamis Oriental Institue of Science and Technology

Flock - a number of birds of one kind feeding, resting, or traveling together.

Department - a division of large organization such as a government, university,

buseniss, or shop, dealing with a specific subject, commodity, or area of activity.

Evaluation – the making of judgment about the amount, number, or value, of

something; assessment. “The evaluation of each method.

Hardcopy – a particular form of procedure for accomplishing or approaching

something, especially a systematic or established on. “A method for software

maintenance”.

REVIEW RELATED LITERATURE

There are different research works on the topic. Most of the work was

conducted by the foreign researchers. This chapter presents the related literature and

the studies after the systematic and in-depth search done by the researchers. This will

also represent the synthesis of the art, theoretical and conceptual framework to

fully understand the research to be done.

According to Thompson Mary Kathryn, Beunguk Ahn Korea(2012), entitled

“Online Grading System” that was developed to collect, process, and return the grades

produced by juries using a series of rubrics in a first year project-based design course.

It discusses the design requirements, features, and implementation of the online

grading system, as well as reactions from course faculty and staff members. It is

shown that this system has a number of advantages over analog grading methods,

including scalability, real-time feedback on the status of grading, the reduced

potential for human error in compiling grades, the ability for jury members to grade

remotely and to revise their grades after submission, the ability for course

administrators to easily review grading results and remove statistical outliers from the

score set the ability to return both provisional and final grades to the course faculty,

staff, and students in a timely manner, and the ability to archive and export grading

data for future use.

According to Anderson Lopez (2005), a registration system helps and provides

efficient and reliable services to the students, enrollment personnel and

administration. Moreover, this system improved the process of enrollment in terms of

searching, retrieving and subject schedules, many problems and difficulties were

identified in the existing system of Dagupan City National High School (DCNHS).

These major concerns are affecting the efficient enrolment system of students.

Security of the students records were found to be at high risk. The current system may

fail to protect some important documents. It has also untimely and inefficient report

generation.

The Academic Information Management System or AIMS has enhanced the

enrollment system and academic record, keeping of the University of Negros

Occidental Recoletos in Bacolod City. The school for easy access of students to the

school and school academic records acquired AIMS, software of Pinnacle Asia. It has

systematized and consolidated the inputs of the college registrar with the accounting

office. Bro. Jaazeal D. Jakosalem, OAR, University Property Administrator said that

AIMS has made records of both offices analogous with each other. We were able to

solve ― the loopholes in the past where millions of pesos cannot be counted because

their inputs cannot be recorded, Jakosalem explained. AIMS have greatly improved

the school’s information technology infrastructure. UNO-R students and their parents

can view the academic records on-line while enrollment procedures has been reduced

to only 30 minutes or so with corresponding accounts due within 5 days. School

notices and announcements may be read on-line. Faculty members may encode grades

and post course/lecture materials on-line. The school alumni here and abroad may

request for their transcript of records and receive the same on line. Jakosalem also

announced that UNO-R campus is now a WIFI zone. Foreign and graduate students

may access the web at all times using their laptops. This study is related to the

proposed system because of the web-based enrolment. The registrar and the students

can also view their academic records using the internet. But the difference is that in

this study it is not mention that the students can pay their tuitions on-line (AIMS

enhances enrollment system of UNO-R Bacolod) The University of Southern

California (USC), located at Los Angeles, California, USA, is establish in 1880 as a

private research institution. The university’s academic and administrative programs

are led by the president’s cabinet, which is comprised of a provost and senior vice

president for academic affairs, senior vice president for finance and chief financial

officer, senior vice president for administration, senior vice president and for

university relations, and senior vice president for advancement. USC is governed

under the direction of the university’s board of trustees and in accordance with the

university by laws.

According to the coordinator of Admission Support, Kerian Greenaway

(2010), the system offers immediacy and convenience of course enrolment via the

Internet. The technology in use was set up by Oracle in 1998, when ECU moved

towards creating an innovative web-based enrolment and administrative system using

Oracle database products. New enrolments using ECUWES are managed differently

to re-enrolment on ECUWES. New enrolments are processed while the student is with

an enrolment assistant, because there is a need to collect HECS and enrolment papers,

as well as to familiarize students with the system. In terms of re-enrolment, the

student has full control of enrolling in a six-week period, which allows for any small

glitches in the system, such as not being able to get online. ECU also previously faced

difficulties with managing student enrolment administration, as staffs were distributed

across several locations, so there was a desire for improved access and management

of student information. Similarly, re-enrolment required students to travel to the

University and queue for service from administration staff. Faculties also requested

that students enroll by porting enrolment sheets on computer bulletin boards. With

ECUWES, students from remote areas and international students enjoy easy

enrolment with improved time effectiveness. There have been no major problems,

apart from a few power failures, but ECU has back-up plans, such as enrolment

assistants taking up all the paperwork and processing the information once back

online.

According to Bacala & Reanno (2009) a web-based in enrollment system has

featured that meet most of academic institution system’s needs and requirements. This

includes stand zed modules for student registration, enrollment, grades management,

and other modules that are deemed necessary to operate school. A

computerized system is a computer system with a purpose. When we talk about a

computer system, we are simply referring to the hardware and software that comprise

the computer system. But when we talk about a computerized system, we are referring

to a function (process or operation) integrated with a computer system and performed

by trained people.

According to Tom Desousa (2008), Web based application have four core

benefits. These are the following: 1) Compatibility. Web based applications are far

more compatible across platforms than traditional installed software like web

browsers. 2) Efficiency. Everyone hates to deal with piles of paper unless they do not

have any other alternatives. The benefit of web based solution makes services and

information available from any web‐Facilitated Personal Computer (PC). 3) Security

of live data. Normally in more complex Systems data is moved about separate

systems and data sources. In web-based systems, these systems and processes can

often be merged by reducing the need to move the data around. Web‐based

applications also provide an additional security by removing the need for the user to

have access to the data and back end servers.4) Cost Effective. Web‐based

Applications can considerably lower the costs because of reduced support and

Maintenance, lower requirements on the end user system and simplified plans.

We followed the study of Anderson Lopez because the study or their system

management mainly related to the study that we have. The efficiency and reliability

are the most important aspects that we want to focus for our study. Their system

management is uniquely designed and planned by experts who help their project

attainable in an effective manner. It was convenient and easy to access by the faculties

and students which encouraged us to do our own research that aims in helping not

only the students but also the faculties to lighten their burdens.

Chapter 3

Research methodology

In this chapter it presents how the researchers planned and designed the

prototype. Shown in Figure 3.1 is the Framework of the Study, before anything the

researchers gathered all the necessary data by the help of internet, adequate and

sufficient information and knowledge also collected to be used in the duration of the

study. Aside from internet, the researchers also collected information on books,

magazines, dissertations, and existing researchers related to the study both on printed

documents and soft documents are known sources of information. Study on the

materials to be used and determination of resources are fundamental part on the

gathering of information. After the researcher gathered all the data, the next step is the

planning and designing of our prototype, some of our designs are collected in

different existing so that there is a related concept from our design to the other design

but they differ in functionality and the body formation as well.

Research setting

This research study has been conducted inside the school of Misamis Oriental
of Science and Technology. The researchers conducted interviews to the selected
personal of moist in order to collect some important information.

Research Requirements

The system requirements will divide into to software and the hardware
requirements.

Design

This computerized dean’s evaluation system that the researchers proposed is


perfect for the school. The researchers ensure that the design of the said system is
suitable and easy to recognize. By putting in a simple but detailed way of design,
anyone in the school would not have a very hard time in using the system. It would be
also useful to the staff and every detail in the design of the system in appropriate to
location of the school. The researcher used Microsoft visual studio in making the
interface of the program.

We the researchers basically used the functionality type of test. Through

system testing it help us verifying an application performs tasks as designed. It

focuses on the functionality of an application. Checking that every kind of user input

produces the intended output across the application. Testing conducted on a complete

integrated system to evaluate the system's compliance with its specified requirements.

CHAPTER 4

PRESENTATION, ANALYSIS AND INTERPRETATION OF DATA

Presentation, Analysis and Interpretation of Data

This chapter is concerned with data presentation, of the findings obtained

through the study. The findings are presented in graph form after being analyzed to

facilitate readings and understanding. The data will receive throughout the respondent

checklist, respondent feedback, interviews used to help draw conclusions regarding

the study. The information from the respondent interviews, researchers reviewed all

data to find trends between what the respondents will be saying and what activities

they completed. Researchers then applied these ideas to the data gathered from the

students’ interviews and able to quantify the information and also make

determinations base of the results. Researchers used checklist to gain more concrete

answer from the respondents on what they felt about the computerized student

evaluation of Misamis Oriental Institute of Science and Technology.

The researchers’ made questionnaire checklist as an instrument to gather the

needed data to assess the questions based on their experiences. The researchers will

also look on the internet and books about the topic. For instance, statement describing

the situations or issues pertaining to the topic, it will help to accommodate the

knowledge preparedness of the respondents.

Data Obtained through Interview

In gathering the relevant data, the researchers used various descriptive

research techniques. The observation checklist allowed the researchers to take an

objective in defining specific results for which was looking. Interviewing people, and

giving them a questionnaire as a survey instrument in order to assess them properly. It

will also help the researchers to determine the advantages and disadvantages of

computerized student evaluation of MOIST. The researchers also looked on the

internet and books about the topic. For instance, statement describing the situations or

issues pertaining to the topic, it will to accommodate the knowledge preparedness of

the respondents.

CHAPTER 5

Summary, Conclusion and Recommendations

Summary

Misamis Oriental Institute of Science and Technology relies to the manual

evaluation. Students who are enrolling their subject must be having a long patience to

make their turn. The researchers conducted a survey to gather some of information

and data regarding to manual evaluation. Students are fully agreed to the system of

what researchers created which is the “Computerized Dean’s Evaluation”.

Computerized Dean’s Evaluation evaluates student’s subjects and recommends the

subject of the Students needed. Realization of such studies would meet the

requirements of international standards for valid and reliable use of this system. We

would then have an adequate computer system for predicting satisfaction and useful

for monitoring the students grades and performance.

Conclusion

This research is a big factor for assessing academic satisfaction and

convenient not only for the students as well as for the staffs of MOIST. This system

will allow the enrollment to be more organize and hassle free. Furthermore, it makes

possible rapid administration to a large group of individuals in a more automatic,

economical and efficient fashion than using traditional methods.

Recommendation

The researchers would like to recommend this study to the following:

Parents- so that they will become aware on what are the performance or grade of their

child.

Faculty- as the primary source of information they can have the opportunity to inform

students who are under their supervision and they can facilitate to help them.

Future Researchers- may this research will serve as their guide in finding more

answer to the upcoming researches and find ways to solve the said problem.
