CHAPTER TWO

OVERALL EXPERIENCE

2.1 How we get into the company

The university industrial linkage (UIL) office planed this program to create a good interaction
between universities and industries. And also helps the students to know about the nature of the
working environment, how to handle challenges whenever there are problems. The university
also gives great attention to this program. We were asked to find a company by ourselves. Once
our internship entrance paper given to us at the end of the eight semesters. We was gone to Kafa
Zone-ICT office. Firstly we gave our entrance paper for Kafa Zone Science and Information
Technology office and they give our acceptance paper back and after finishing ninth semester we
start our internship work programs. As first day company adviser has advised to follow carefully
then we tried visited the office under the guide of one of the stuff member the whole process
under Kafa Zone-ICT office starting from the networking and maintenance equipment’s.

2.2 Section that we have been executing

Kafa Zone-ICT has two main sections which are ICT maintenance section and Networking
section. ICT maintenance section is responsible for maintenance of computers, printers and other
device for the Kafa Zone-ICT and related tasks, which is the backbone of Kafa Zone-ICT by
giving many services and facilities. It integrates the Zone with many software and hardware
devices which are technologically advanced or modernized. It also serves the society by giving
academic training and giving different academy certificates for both office members and society
around Zone. Kafa Zone–ICT development has many different departments through which it
applies. It has many chain of work flow as a framework for their effectiveness and efficiency of
their services. We have been working in the section of Networking and this section has two sub-
sections which are Network department and System department. Networking section is
responsible for installing wired and wireless networks and maintaining network problems of the
Zone.
2.3 Workflow of Zone-ICT

Kafa Zone-ICT uses the hierarchical network model. During our internship program we have
been directly contact with two main sections which are ICT maintenance section and Networking
section. This two main sections are directly responsible for maintain device and install
networking respectively. Networking section have two main departments which are network
department and system department.

2.4 The tasks we have been executing

During our stay in Kafa Zone ICT we practice on the following points:-
 Pre-preventative maintenance
 Preventive maintenance of hardware device
 Maintaining and troubleshooting network devices
 Cable arrangement and Label cable
 Network installation
2.4.1 Pre-preventative maintenance
By performing regular maintenance routines we can reduce potential hardware and software
problems. Regular maintenance routines reduce computer downtime and repair costs.

Benefits of pre-preventative maintenance such as

 Extend the life of components

 Increase equipment stability

 Reduce repair costs

 Reduce the number of equipment’s failure.

2.4.2 Preventative maintenance for the devices

Preventative maintenance is regular and systematical inspection, cleaning and replacement


of warn parts, materials and systems. Preventive maintenance helps to prevent failure of
parts, materials and systems by ensuring that they are in good working order. Devices part
that requires regular preventative maintenance:

A. Hardware part
B. Software part
A. Hardware part

Check the condition of cables, components and peripherals. Clean components to reduce
the likelihood of overheating. Repair or replace any components that show signs of
damage or excessive heat. Preventative maintenance includes tasks such as

 Removing dust from fan in takes and keyboard.


 Remember to check the CPU’S cooling fan is working and that the air flow is not closed
by dust. Checking the power sources
 Make sure systems are plugged into protected outlets or power dividers, if not power may
interrupt.
 Removing dust from networking devices
B. Software part

Verify that installed software is current and follow the policies of the organization when
installing security updates, operating system, and program updates.

Create a software maintenance schedule to:

 Review and install the appropriate security, software, and driver updates.
 Update the virus definition files and scan for viruses and spyware.
 Remove unwanted or unused programs.
 Scan hard drives for errors and defragment hard drives.

2.4.3 Cable arrangement and Label cable

I. Labeling

Labeling is the process of identified with information that define the connection between the near
end panel connection and the far end panel connection. Every cable you installed should be
labeled. Because labeling can not only save your lots of time on troubleshooting but also can
save the cost of moves, adds, and changes to the system. Labeling network cable is not difficult,
but it needs time. During network installation, note that each cable has an ID. The ID can be
number, letters, or any combination as long as you understand it and it works.

II. Cabling

Network cables are used to connect and transfer data and information between computers,
switches, and storage area networks. Cable is the medium through which information
usually moves from one network device to another. There are several types of cable
which are commonly used with LANs.
Cabling is divided into two major parts:-

1) Straight through cabling: is a type of twisted pair cable that is used in local area
networks to connect a computer to hubs or switches.
2) Cross over cabling: is commonly used to connect device of the same type like computer
to computer.
2.4.4 Installation of network

For network installation we use different devices; such as drilling machine, trunk, Fischer,
puncher, Screws and so on. To install firstly we measure distance from floor about 60c.m by
meter, then check the slope of the wall, cut the trunk at different place and match it with the
angle of the wall then drill the wall by machine. After that recheck everything are right, and if
okay start to attach the trunk by using feature and screw. Then at last put the number of UTP
cable in the trunk and close the trunk by its front part.

2.5 Procedures perform our work in company

For the achievement of our internship we used different approach as the hardness of the project.
Accordingly, the following procedure was used to overcome our problem and lastly, We
achieved our project in a good and best manner.

 First we gathered information about our task to do.


 Then we made some analyzes for the task.
 After this we have prepared our plan which include how and when to finish the task.
 Then we have implemented our assumed plan accordingly
 Lastly, we made a backward check mechanism to see how our work and plan going on

2.6 How good we have been performing our work task


During performing our work in Kafa Zone ICT center we were participate on the work
equally and punctually. We was train all what they exercise us and get experience from it.

We can say that we are:-

 Highly attend them,

 Highly participate
 Practice more

 Get experience for what they exercise us


2.7 Challenges faced during work
Effective communication has always been the key to all healthy relationship, during our
internship program the most obvious challenges are the COVID-19 pandemic, also known
as coronavirus pandemic, is ongoing global pandemic of corona virus disease 2019 caused
by sever acute respiratory syndrome coronavirus 2. Because of that most of has less face-
to-face, in person interaction with co-worker and students, and when we are face-to-face,
we are wearing masks. Another challenges are shortage of device and equipment during
network installation.

To explain them more: -


 The first the department we were assigned was not giving enough work. At that time we
felt underutilized and kind of inadequate for that position..
 Lack of Punctuality is the big problem in our field practice period because the staff
members are not getting on time.
 At the start Zone ICT scheduled our programs into 4 parts such as network configuration,
video conferencing, data connection, and maintenance but as they aimed we haven’t seen
all maintenance section.
 Some of Employees within the office is not voluntary to share his/her talent to us even if
they have willing to share, the suspicion COVID19 made them to isolate themselves.
 Students are not participating equally on the field work.
2.8 Measure taken in order to overcome challenge
Some measure we take in the company was as follow:-
 We are looking for a better department that will give us work to develop our theoretical
knowledge to a practical knowledge.
 We ask them to show all the device stored in the store and to train all with written paper.
 Always when we go for practice we fulfil corona virus protection material such as wearing
mask and taking sanitizer with us always.
 We Repeatedly ask them for technician support during practice
 We Seriously ask them to control the trainer in the field
