Activation Password
This page contains the activation password for your Encoder III.
You will require this whenever you install Encoder III.
In case you need to re-install Encoder III at some time in the future,
it is recommended that you remove this page from the User Guide
and store it, and the program software, in a secure place.

Chapter 1: Introduction
Software
The Encoder III software controls the encoded information that is
written to the tag or card.
Hardware
Before you can use Encoder III you must connect the dongle
(supplied with your order) to the correct port on your PC.
Depending on the type of dongle you have been supplied, the
dongle connects to either the printer port or the USB port on your
PC.
Depending upon the type of card or tag you want to encode, you
will also need to install a Magstripe, Proximity, 125 Proximity or
Smart Card encoder. The encoder is the transmitter that writes
encoded information to the card or tag.
If the dongle you have been provided connects to the printer port,
the card printer connects to the dongle on the printer port of your
computer in the same way as a standard printer.
If you want to encode different types of cards and tags, you will
need an encoder for each type. Depending upon your PC
configuration you can have all four encoders connected to your PC
at the same time and switch between them.
Licence
When you purchased Encoder III you will have been issued a
licence. Your licence depends on the information you supplied to
your distributor when you purchased Encoder III. It is also linked to
the serial number of the dongle supplied with your copy of Encoder
III.
Your licence is installed when you install Encoder III and defines
the facility codes you are authorised to encode. Every licence is
unique and can only be used with the Encoder III for which it was
created.
Note:
You can obtain extra facility codes from your distributor and update
your licence to include the codes.
Definitions
Throughout this User Guide the following definitions apply.
Tag refers to identity cards, key tags, vehicle tags and any other
form of identity tag that can be presented to, or passed through, an
encoder. Tag normally refers to proximity tags.
125 Proximity Card refers to any card which uses 125 kHz RF
technology to store information and which can be read by a Cardax
125 Card Reader.
Chapter 2: Installation
Operating System
Encoder III vJ3.3.x is a 32 bit version of Encoder III and requires
an IBM or compatible PC with a CD ROM drive running one of the
following standard (i.e. non-proprietary) Microsoft operating
systems:
• Windows XP professional
• Windows 2000 with Service Pack 2 installed
• Windows Server 2003 (only if you have received the USB
version dongle with Encoder III)
Note: Some PCs are supplied with proprietary versions of the
standard Microsoft operating systems. These non-standard
operating systems may not be compatible with Encoder III.
This User Guide assumes you are familiar with the Microsoft
Windows® operating system you are running on your PC. If you
are not, you should refer to the appropriate Windows® User Guide
before beginning this installation.
If you do not connect the dongle to LPT1, or you connect the wrong
dongle, Encoder III will not run.
Connect the RS-232 cable from the DE9 socket on the back of the
Cardax Proximity Encoder to either COM 1, COM 2, COM 3 or
COM 4 on the back of your PC. You must connect the cable to a
DE9 communications port.
Plug the power supply into the socket on the back of the Cardax
Proximity Encoder. The centre pin is positive.
Note:
The Cardax Proximity Encoder does not have an ON/OFF switch.
When it is ON both the Red "S" and Green LED will illuminate.
Note:
A DC power supply is not supplied with your order.
Connect the RS-232 cable from the DB9 socket on the back of the
Cardax 125 Encoder to either COM 1, COM 2, COM 3 or COM 4
on the back of your PC. You must connect the cable to a DE9
communications port.
Plug the power supply into the socket on the back of the Cardax
125 Encoder. The centre pin is positive.
Note:
The Cardax 125 Proximity Encoder does not have an ON/OFF
switch. When it is ON the Red LED will illuminate.
Magstripe Encoders
If you want to encode information onto a Magstripe Card and also
be able to read back that information, you will require a Neuron
Encoder.
Encoder III supports the earlier model of Neuron Encoder and the
later model CT-891-3A(A) Neuron Encoder.
Connect the null modem RS-232 cable from the socket on the back
of the Neuron Encoder to either COM 1, COM 2, COM 3 or COM
4 on the back of your PC. You must connect the cable to a DE9
communications port.
Note:
The Neuron Encoder has a DB25 socket. The later model CT-891-
3A(A) Neuron Encoder has a DB9 socket.
Magstripe Printer
Encoder III may support your Magstripe printer. Check with the
manufacturer that your printer can be used with operating systems
compatible with Encoder III. (Refer to Operating System on page
2-1).
If the dongle you have been provided connects to the printer port,
follow the manufacturer's instructions to connect the Magstripe
Printer to the dongle on the printer port of your PC.
Note: The printer must be set up as a direct printer and not via a
print spooler.
Other Printers
Impact Printer
If you want to print PIN forms you will need an impact or dot
matrix printer.
If the dongle you have been provided connects to the printer port,
follow the manufacturer's instructions to connect the impact or dot
matrix printer to the dongle on the printer port of your PC.
If the dongle you have been provided connects to the printer port,
follow the manufacturer's instructions to connect the impact or dot
matrix printer to the dongle on the printer port of your PC.
Each encoder requires its own interrupt request (IRQ) and its own
communications port. However in a standard Windows® PC
configuration, Communication Ports 1 and 3 share the same
interrupt request and Communication Ports 2 and 4 share another.
Hence, to connect two encoders at the same time you must connect
the encoders to communication ports that use different interrupt
requests; that is, Com Ports 1 and 2, 1 and 4, 2 and 3, or 3 and 4.
If you are upgrading from Encoder II, you should first uninstall the
Encoder II software from your PC. To uninstall Encoder II select
Start > Settings > Control Panel > Add/Remove Programs and
select Encoder II from the list of applications.
Note:
Some versions of Encoder II will not have an uninstall option. If
this occurs, you should not attempt to uninstall or remove the
Encoder II program files.
Type d: setup where "d" is your CD ROM drive and press Enter.
Note:
Encoder III uses a standard Windows InstallShield Wizard.
Note:
If you do not accept the Licence Agreement you will not be able to
install Encoder III.
Destination Directory
Click Next.
Program Folder
You will be asked to confirm the name of the Program Folder for
the Encoder III files. The Program Folder will be created in the
Start > Programs menu on your PC.
Alternatively, you can select another folder from the list of Existing
Folders, or enter a new name in the Program Folders text box.
Click Next.
Licence File
Setup Complete
When you click Finish the Install Wizard will close and your PC
will automatically restart.
You should make sure that you have closed any other open
applications and removed the Licence File disk from your PC
before clicking Finish.
Note:
If you connect a USB dongle to your PC, wait for the following
message to display at the lower right hand corner of your screen:
Activation Key
When you start Encoder III the first time after installing it, a
dialogue box asking for your Activation Password will display.
Click Activate.
The facility codes for which you have a licence are displayed in the
New facility codes drop down list box.
Select a facility code from the New facility codes drop down list
and enter a name for the site that is going to use that facility code in
the Assigned site name text box.
You should give each site a unique and easily identifiable name.
This makes it easier to select a site when you want to encode cards
or tags.
Card Configuration
Select the Card Configuration tab to display the default Card
Type, PIN Selection and PIN Size for that facility code.
You can accept the default settings or you can select from the other
options that are displayed in the window.
Note:
Proximity Cards, 125 Proximity Cards, Dual Technology Cards and
Smart Cards cannot be encoded with 6 digit User PINs.
Click Apply to save the settings you have entered. The Assign
Facility Codes window will remain open and you can then select a
different facility code from the New facility codes drop down list.
Note:
You can enter the information for all the facility codes for which
you have a licence now, or you can enter information for just one
facility code and add the rest later.
To save the settings and return to the Logon window, click OK.
You can then enter the information for the remaining facility codes
at a later date by selecting Assign Names To Facility Codes from
the Configure menu in the main window.
Note:
The Operators tab in the Assign Names To Facility Codes
window will not be available until you have set up at least one
operator in the Configure Operators window.
Password: master
Note:
If you are upgrading from vJ2.34 note that the password must now
be entered in lower case.
Click Logon.
The Change Password window will display.
To ensure the security of the Encoder III system you must change
your password. This will prevent unauthorised personnel from
being able to log on to Encoder III simply by using your name as
your password.
Note:
Passwords are case sensitive. They can be any combination of
letters or numbers but must have a minimum of 4 characters and a
maximum of 32. You cannot use special characters such as "/",
"%", "-" etc.
Starting Up
Ensure the encoder or printer you want to use is correctly connected
to your PC, as described in Chapter 2: Installation earlier in this
User Guide.
Note:
If you are starting Encoder III for the first time, refer to Getting
Started for the First Time earlier in this chapter.
To start Encoder III click the Windows Start menu and select:
If you do not want to encode cards during your Encoder III session,
log on as described next in this chapter.
Logging On
Every time you start Encoder III the Logon window will display.
Note:
If you are logging on to Encoder III for the first time refer to
Getting Started for the First Time earlier in this chapter before
continuing.
To ensure the security of the Encoder III system you must change
your password.
Note:
The Read and Encode buttons on the main window will only be
enabled if you have the associated encoders correctly configured, as
described in Devices in Chapter 4: Setup later in this User Guide.
The Encoder III Online User Guide provides the same information
as the printed User Guide supplied with your software. The index
and contents entries, as well as references within the User Guide,
are hyperlinked to allow you to move easily between sections.
To read the Online User Guide you must have Adobe Acrobat
Reader v4.0 or later installed on your PC. This is supplied on the
Encoder III Installation CD.
If you are unsure whether you have Adobe Acrobat Reader v4.0 or
later installed on your PC, select Online User Guide from the Help
menu. If you do not have Acrobat Reader installed the following
dialogue will display.
Logging Off
To log off select Logoff from the File menu
or
Note:
Logging off does not close Encoder III. It will remain running and
the Logon window will display.
After you have logged off, you cannot perform any functions in
Encoder III unless you log on again.

To restart Encoder III click the Windows Start menu and select:
Changing Passwords
To change your password, select Change Password from the File
menu in the main menu, or click the Change Operator Password
icon on the toolbar.
The Change Password window will display.
Chapter 4: Setup
Introduction
The Configure menu in the main window allows you to customise
your Encoder III settings to suit your own requirements.
From the Configure menu, select the Encoder III settings that you
wish to configure.
Sites allows you to define the facility code and default card or tag
information associated with any site in your system. These are the
settings that will automatically be selected each time you encode a
card or tag for that site.
PIN Entry allows you to choose when you encode a card or tag,
whether or not to display a User PIN in the Encoder III window as
it is entered.
Operators
To configure operator settings select Operators from the
Configure menu on the main window.
This window allows you to define the operators who are authorised
to use Encoder III. You can authorise an operator to have access to
all, or just parts of the program.
In this window you can create new operators, as well as edit and
delete existing operators.
Enter the name of the new operator (this will replace the existing
text).
This is the name the operator will need to use to log on and is also
the default password for that operator.
Note:
When an operator logs on for the first time they must change their
password. For more information on changing passwords refer to
Changing Passwords in Chapter 3: Getting Started earlier in this
User Guide.
You can then set the functions for which you want the operator to
be authorised as detailed later in this section.
Deleting an Operator
To delete an operator select the operator's name from the
Operators drop down list.
Note:
The operator's name and all functions associated with the operator
are deleted. However the operator's number is not deleted and
cannot be re-used.
Select the operator's name from the Operators drop down list.
Note:
You cannot view an operator's password, you can only reset it.
Neither can you reset your own password. This must be done by
another operator who has permission to configure operators. For
this reason it is advisable to ensure that at least two operators have
permission to configure operators.
Automatic Logoff
You can configure an operator to be automatically logged off after a
set time period if they have not used Encoder III during that time.
This helps to prevent an unauthorised person using Encoder III
while an operator is logged on to Encoder III but away from the PC.
Enter the time period after which you want the operator to be
logged off, in the Minutes text box.
Note:
The automatic logoff period must be between 5 and 99 minutes
inclusive.
Select the operator's name in the Operator name drop down list
and select the function you want to give the operator permission to
perform.
Note:
You cannot change your own operator functions. This must be done
by another operator who has permission to configure operators.
Selecting a box that is already selected will clear the box and
remove that function for the selected operator.
Note:
Unchecking Select All means the operator can access only the
Display Toolbar option on the Configure Menu, the Help menu,
and the Change Password, Logoff and Exit options on the File
menu. All operators can also view, copy and add comments to audit
log entries.
Site Permissions
Devices
To configure the hardware settings for an encoder select Devices
from the Configure menu in the main window.
For each encoder type, this window allows you to define individual
settings such as the timeout period, communications port and serial
number.
Note:
Until you enable and configure at least one encoder, the Encode
and Read buttons in the main window will not be available.
Check the Enabled box. This allows Encoder III to recognise that
the Proximity Encoder is connected to your PC and to make the
other check boxes on the Proximity tab available.
In the Comms Port drop down list, enter the number of the
communication port on your PC to which the Proximity Encoder is
connected.
Note :
The communication port must be different from that used on any
other enabled device (e.g. Magstripe, 125 Proximity or Smart Card
encoders).
In the Timeout (seconds) box enter the time period after which you
want Encoder III to recognise a tag has not been presented to the
Proximity Encoder and display a message.
Note:
The timeout period must be between 5 and 25 seconds inclusive.
In the Serial Number text box enter the serial number of the
Proximity encoder. The serial number is written on the base of the
encoder.
The Read Prox and Encode buttons on the main window will be
enabled if the Proximity encoder is correctly connected to your PC.
Magstripe Encoders/Printers
To configure the settings for a Magstripe encoder or printer select
the Mag Stripe tab in the Configure Devices window.
Check the Enabled box. This allows Encoder III to recognise that
the Magstripe encoder or printer is connected to your PC and to
make the other check boxes on the Mag Stripe tab available.
Note:
To encode Magstripe cards, you can use either a card printer or an
encoder. However a printer can only write the encoded information
to a card whereas an encoder allows you to also read the
information back.
Select the encoder or printer type from the Device Type drop down
list.
Note:
If you selected a printer, the Comms Port, Timeout (seconds), and
Baud Rate boxes will become unavailable as you do not need to
configure these settings for a printer.
In the Comms Port drop down list enter the number of the
communication port on your PC to which the encoder is connected.
Note:
The communications port must be different from that used for any
other enabled device (e.g. Proximity, 125 Proximity or Smart Card
encoders).
In the Timeout (seconds) text box enter the time period after which
you want Encoder III to recognise a card has not been presented to
the Magstripe encoder and display a message.
Note:
The timeout must be between 8 and 99 seconds, inclusive.
Select the baud rate for the encoder from the Baud Rate drop down
list. If you are unsure of the correct baud rate for the encoder you
have selected you should refer to the manufacturer's instructions for
more information.
Note:
The Baud Rate for the Neuron CT-891-3A(A) Encoder should be
9600.
When you have made all the above selections, click OK.
Note:
The printer must be set to Print Magnetic Stripe only and Print
Directly i.e. not via a spooler.
The Encode and Read Mag buttons in the main window will be
enabled if the Magstripe encoder is correctly connected to your PC.
Encoder Settings
Check the Enabled box.
This allows Encoder III to recognise that the Smart Card encoder is
connected to your PC and to make the other check boxes on the
SmartCard tab available.
In the Type drop down list enter the physical connection type of the
encoder.
In the Comms Port drop down list enter the number of the
communication port on your PC to which the encoder is connected.
Note:
The communications port must be different from that used for any
other enabled device (e.g. Magstripe, Proximity or 125 Proximity
encoders).
In the Timeout (seconds) text box enter the time period after which
you want Encoder III to recognise a card has not been presented to
the SmartCard encoder and display a message.
Note: The timeout must be between 5 and 25 seconds inclusive.
The Serial Number text box will only be enabled if the connection
type is not USB. Enter the serial number of the Smart Card encoder.
The serial number is written on the base of the encoder.
The Baud Rate drop down list will only be enabled if the
connection type is not USB. From the Baud Rate drop down list
select 19200.
If your cards are second generation (that is, new) Smart Cards
and are issued by Cardax, you do not need to change any of the
default settings.
Mifare have reversed the authentication keys (MAD Key B and
Sector Unlock Key) used in first and second generation Smart
Cards. You will not be able to easily determine whether a card is
first or second generation. However, an authentication error will
occur if you try to encode first generation versions of Smart Card
using the default Smart Card settings in Encoder III. If this occurs,
uncheck Cardax Issued, and swap the MAD Key B Value and the
Sector Unlock Key. You should now be able to encode first
generation Smart Cards.
Note:
Do not recheck Cardax Issued as this will return the MAD Key B
Value and the Sector Unlock Key to their default values.
Smart Card Settings for first generation (that is, old) cards:
MAD Key B value: B0B1B2B3B4B5
Note:
Although Encoder III defaults to sector 15, the Cardax Smart Card
Reader can read information from any sector.
Click OK to return to the main window.
The Encode and Read Smart buttons in the main window will be
enabled if the Smart Card encoder is correctly connected to your
PC.
Check the Enabled box. This allows Encoder III to recognise that
the 125 Proximity encoder is connected to the PC and to make the
other check boxes on the 125 Proximity tab available.
From the Comms Port drop down list select the number of the
communication port on your PC to which the encoder is connected.
The communications port must be different from that used for any
other enabled device (e.g. Magstripe, Proximity or Smart Card
encoders).
In the Timeout (seconds) box enter the time period after which you
want Encoder III to recognise that a card has not been presented to
the 125 Proximity encoder and display a message. The timeout
period must be between 5 and 25 seconds inclusive.
From the Card Type drop down list select the 125 Proximity Card
type you will be encoding.
The Read 125 and Encode buttons in the main window will be
enabled if the 125 Proximity encoder is correctly connected to your
PC.
Sites
When you select Sites from the Configure menu in the main
window, the Configure Sites window opens.
General Settings
To define the card type and other default information associated
with a specific site select the General tab.
Select the site you want to configure from the Sites drop down list.
Note:
Only those facility codes to which you have already assigned
names, using the Assign names to facility codes window, will be
available in the Sites drop down list.
Card Type
To set the default Card Type click either Magnetic stripe,
Proximity, Dual technology, SmartCard or 125 Proximity in the
Card type box.
Note:
If you select SmartCard you must also define the settings in the
SmartCard Settings tab. Refer to Smart Card Settings, next in
this chapter.
PIN Selection
If you want Encoder III to automatically generate a PIN whenever a
card or tag is encoded for the selected site, click System.
If you want the person to whom the card or tag will be issued to
choose their own PIN when the card or tag is encoded, select User.
Note:
If a User PIN is selected, you will not be able to encode multiple
cards and tags in a single operation. You will need to encode them
individually, using the Encode Card tab in the main Encoder III
window.
PIN Size
To set the number of digits in the PIN whenever a tag is encoded,
select either 4 Digits or 6 Digits.
Note:
A 6 digit PIN cannot be encoded on Proximity Cards, 125
Proximity Cards, Smart Cards or Dual Technology Cards.
When you are satisfied with the settings, click OK to save the
changes and close the Configure Sites window.
Note:
If you selected Smart Card as the Card type, refer to Smart Card
Settings, next in this chapter, before saving your changes.
This is only necessary if you want to use different settings for this
site to those which you defined earlier in the SmartCard tab of the
Configure Devices window.
The settings that display will be the same as those you set in the
SmartCard tab in the Configure Devices window.
Note:
If your cards are second generation (that is, new) Smart Cards and
are issued by Cardax, the default settings supplied with Encoder III
can be used.
Note:
Do not recheck Cardax Issued as this will return the MAD Key B
Value and the Sector Unlock Key to their default settings.
The Configure Sites window will remain open and you can then
configure another site by repeating the above procedure.
Note:
If you require more information on Smart Card settings please
consult your Smart Card issuer.
Check MAD Required if the Smart Cards for the site use the MAD
(Mifare Application Directory).
Enter the MAD Key B Value supplied to you by your Smart Card
Issuer. This allows the MAD to recognise the Cardax system.
Enter the Sector Unlock Key if the Smart Cards for the site have
locked sectors.
Note:
Although Sector 15 is the default sector for Cardax, the Cardax
Smart Card Reader can read information from any sector.
The Configure Sites window will remain open and you can then
configure another site by repeating the above procedure.
To define 125 proximity card settings for the site, click on the 125
Prox Settings tab.
Pick any of the three options. What the three options do is covered
under Cardax 125 Proximity Encoder (page 4-15).
PIN Entry
Encoder III allows you to choose whether to display a User PIN on-
screen as it is entered.
To do this, select PIN Entry from the Configure menu in the main
window.
From the PIN Entry drop down list select either Revealed or
Hidden.
If you select Revealed, the PIN will display on-screen as you enter
it in the PIN text box on the Encode Card or Encode Cards tabs.
Toolbar
Encoder III has a tool bar that displays in the main window and
contains icons representing all the menu items found on the File
and Configure menus. You are able to choose whether you want to
display this tool bar or not.
Clicking an icon on the tool bar has the same function as selecting
the corresponding menu item from the File or Configure menu.
New facility codes are issued by your Cardax distributor. When you
request new facility codes your distributor will require certain
information. This will include your existing Encoder III serial and
version numbers.
To add a new facility code, select Add Facility Codes from the
Configure menu in the main window.
Note:
The application will search the floppy drive for your updated
licence file. Make sure the disk is inserted.
Note:
The licence file is called encoder3.ini.
Encoder III will automatically update your encoder licence and the
Assign Names to Facility Codes window will display.
This window allows you to assign a site name and define the Card
Type, PIN Selection and PIN Size for the facility codes for which
you have a licence.
Note:
Proximity Cards, 125 Proximity Cards, Smart Cards and Dual
Technology Cards cannot be encoded with a 6 digit PIN. This
option will be disabled for these card types.
You will have defined these details for at least one facility code
when you started Encoder III for the first time, as described in
Chapter 3: Getting Started earlier in this User Guide.
Note:
The Assign Names to Facility Codes window will only be
available if you have not yet assigned names and default card
settings to some of the facility codes for which you have a licence.
The New facility codes drop down list box contains only those
Select a facility code from the New facility codes drop down list
and, in the Assigned site name text box, enter a name for the site
that is going to use the facility code.
You should give each site a unique and easily identifiable name.
This makes it easy to select a site when you want to encode cards or
tags.
You must assign a site name and define the Card Type, PIN
Selection and PIN Size for the new facility code.
Note:
If you select SmartCard as the Card Type, the settings you
defined in the SmartCard tab of the Configure Devices window
will be used as the default.
To set the operators you will authorise to perform functions for the
selected site, click the Operators tab.
A list box containing the names of all Encoder III operators will
display.
Select the operators whom you want to authorise for the selected
site from the Operators list.
Note:
Operators can only perform functions for which they have been
given permission on the Functions tab in the Configure Operators
window, as described in Operators earlier in this chapter.
To select more than one operator, hold down the Ctrl key and click
on each operator whom you wish to select.
Introduction
The main Encoder III window contains buttons that allow you to
encode cards and tags for each of the different card types —
Proximity, Magstripe, Smart Card, Dual Technology and 125
Proximity. However the buttons will only be available if you have
correctly connected and set up the associated encoder as described
in Chapter 2: Installation and Chapter 4: Setup earlier in this
User Guide.
This window also contains Encode Card and Encode Cards tabs
which give you the option of encoding cards either individually or
in batches.
Note:
Magstripe Cards can be encoded with multiple facility codes.
Encoder III cannot encode Proximity, Smart Card, Dual
Technology and 125 Proximity Cards with multiple facility codes.
Note:
Only those sites you are authorised to encode cards for will be
displayed.
From the Site Name list, select the site you want to encode a card
for.
You can sort the order in which Encoder III displays sites by
clicking on either the Site Name or Facility Code heading.
When you select a site, the default settings for that site will display.
These defaults are defined when you set up the site as described in
Sites in Chapter 4: Setup earlier in this User Guide. They can be
changed by selecting Sites from the Configure menu on the main
window.
Enter the number of the card you are encoding in the Card
Number box.
Note:
For Smart Cards, Proximity Cards and 125 Proximity Cards, the
highest card number is 16,777,215. For Magstripe and Dual
Technology Cards, the highest card number is 65,500.
To set the card or tag's issue number, type a number in the Issue
Number box or select a number from the drop down list.
Note:
All cards default to Issue 1. If a cardholder loses a card, you can re-
issue the same card number with an incremented issue number. A
card can have a maximum of fifteen issue levels.
Select a card type from the options in the Card type group box.
Note:
If you do not have the correct encoder connected to your PC the
associated Card type will be disabled.
When you have defined all the options for the selected site, click
the Encode button.
For more detailed information specific to the card or tag type you
have selected, refer to the following sections in this chapter,
Encoding Magstripe Cards, Encoding Proximity Tags,
Encoding Dual Technology Cards, Encoding New Smart Cards
and Encoding 125 Proximity Cards.
Note:
Only sites for which you as an operator are authorised to encode
cards or tags will be displayed.
From the Site Name list on the left of the window, select the name
of the site for which you want to encode the card or tag. To select
multiple sites hold down the Ctrl key and click on the grey button
to the left of each site name.
Note:
You can only select multiple sites if you are encoding Magstripe
cards and the facility codes are within a range of 10. For example
you can select multiple sites with facility codes of 25 and 34, but
not 20 and 34.
You can sort the order in which Encoder III displays the sites by
clicking on either the Site Name or Facility Code heading.
When you select a site the default settings for that site will display.
These defaults are defined when you first set up the site as
described in Sites in Chapter 4: Setup earlier in this User Guide. If
necessary, these defaults can be changed by selecting Sites from the
Configure menu.
Enter the number of the first card or tag in the range that you want
to encode in the Card numbers... From text box.
Enter the number of the last card or tag in the range that you want
to encode in the Card numbers... To text box. The tags will be
encoded in consecutive number order.
Note:
The highest card number that can be entered for Smart Cards,
Proximity Cards and 125 Proximity Cards is 16,777,215. The
highest card number for Magstripe and Dual Technology Cards is
65,500.
Enter the issue number you want to be encoded on the cards or tags
in the Issue number box or select one from the drop down list.
Note:
All cards or tags default to Issue 1. If a cardholder loses a card or
tag, you can re-issue the same card number but as Issue 2. A card or
tag can have a maximum of fifteen issue numbers.
Select the type of card or tag you want to encode from the options
in the Card type box.
Note:
If you do not have the correct encoder connected to your PC the
associated card or tag type will be disabled.
If you are encoding Dual Technology cards or tags, you can encode
only one at a time. For further information please refer to Encoding
a Single Card or Tag earlier in this chapter.
Note:
You cannot select User if you are encoding multiple cards or tags
because each person to whom the card or tag is being issued must
enter their PIN before the card or tag is encoded.
Select the number of digits required for the PIN in the PIN Size
box.
Note:
Proximity Cards, 125 Proximity Cards, Smart Cards and Dual
Technology Cards cannot be encoded with 6 Digit PINs.
When you have defined all the options for the selected site, click
Encode and follow the on-screen instructions.
For more detailed information specific to the card type you have
selected, refer to the following sections in this chapter: Encoding
Magstripe Cards, Encoding Proximity Tags, Encoding Dual
Technology Cards, Encoding New Smart Cards and Encoding
125 Proximity Cards.
If you are using a Magstripe encoder, insert each card into the
encoder in turn.
If you are using a Magstripe printer, stack the cards in the printer
and each card will automatically feed through the printer as it is
encoded.
Note:
The number of cards you can stack will depend on the type of
printer you use.
Note:
A proximity tag cannot be encoded with a 6 digit PIN.
Present the tag to the Proximity encoder. Ensure the tag is within 50
mm of, and directly above, the read/write head.
If the tag successfully encodes, both the red and green lights will
glow and the encoder's loudspeaker will sound.
The progress window message will also change back to the message
box showing the next tag number.
If you don't have two communications ports but still want to encode
cards with both Magstripe and proximity data, you will have to
encode them in two separate operations as described in Encoding
Magstripe Cards and Encoding Proximity Cards earlier in this
chapter.
Note:
Before you can encode Dual Technology cards you must check
Enabled on both the Proximity and Mag Stripe tabs of the
Configure Devices window.
Select Dual Technology as the Card type on the Encode Card tab
on the main window and enter the other settings for the selected
site.
Note:
You cannot encode multiple Dual Technology cards. Nor can you
encode a 6 Digit PIN on a Dual Technology card.
When the card has been successfully encoded, the message box will
change and ask you to present the same card or tag to the Proximity
encoder.
Present the card to the Proximity encoder. Ensure the card is within
50 mm of, and directly above, the read/write head.
If the card successfully encodes, both the red and green lights will
glow and the encoder's loudspeaker will sound.
Place each card in turn on the read/write area of the Cardax Smart
Card encoder. This is indicated by the icon.
Note:
It is important that the card physically touches the read/write area
on the face of the encoder during the whole of the write process.
In the main window select from the Site Names list the site whose
associated settings are the same as those displayed in the Read a
SmartCard window.
Select the SmartCard Settings tab and copy the information from
the MAD Key B Value text box.
Select the site for which you want to encode the card and select the
Smart Card Settings tab.
Uncheck Cardax Issued.
Paste the copied information into the MAD Key B Value text box.
Click OK. Return to the main window and try encoding the card
again.
Select the site from the Site Name list in the main window.
At this stage, if you want to make 125 proximity card settings for
this site different from the default, follow these steps.
1. In the main window, double-click on the site name.
2. In the Configure Sites window, click on the 125 Prox Settings
tab.
3. Pick one of the three options.
What the three options do is covered under Cardax 125
Proximity Encoder (page 4-15).
Click Encode. The CARD TYPE WARNING window will
display.
If you click No, the Configure Devices window will display at the
125 Proximity tab. This gives you the opportunity to change the
card type.
If you click Yes, the Encode a Cardax 125 Prox Card window
will display showing the number of the card being encoded.
Note:
The Card Type Setting also appears in the title bar of this window.
In the following example, 5555/Q5 is the card type setting.
Present the card to the 125 Series Cardax Encoder. Ensure the card
is within 50 mm (2 inches) of and directly above the "Place card
here to encode" label.
The progress window message will also change to show the next
card number.
To encode an initialisation card, select the site name from the Site
Name list in the main window.
Note:
If you write the unit number on the card, it can be easily identified
when needed.
If you are not encoding a card for a Cardax Basic reader, enter 1 in
the Polling address text box.
To encode a lift override card, select the site name from the Site
Name list in the main window.
In the Issue number box, either type a number or select one from
the drop down list. A card can have a maximum of fifteen issue
numbers.
Note:
By default all cards are encoded with an issue number of 1.
Different issue numbers are used when, for example, an employee
is issued with card number 345, issue 1 and then loses it. They can
be re-issued with the same card number by incrementing the issue
number.
• Free allows the user of the card to override the lift access mode
from secure access to free access.
In the PIN selection group box, select either System or User.
• System means Encoder III will generate a PIN automatically
when the card is encoded.
• User allows the card owner to type their own PIN in the text box
provided. The PIN is restricted to either 4 or 6 digits, depending
on the PIN Size selected.
Note:
If you select User, ensure the user has entered a PIN before
proceeding.
Click the Encode button.
Click OK and try reading the card again or cancel the card reading.
Pass the tag over the read/write head of the Cardax Proximity
encoder. The tag needs to be within 50 mm (2 inches) of, and
directly above, the read/write head.
If the read is successful the Cardax Proximity encoder will beep and
the Read a Proximity Card window will update with the following
details.
• Tag number and issue number.
• Facility codes assigned to the card.
If the tag cannot be read, a dialogue box will display explaining the
reason.
Click OK and try reading the card again or cancel the encoding.
Pass the card over the "Place card here to encode" label on the 125
Series Cardax Encoder. The card needs to be within 50 mm
(2 inches) of and directly above the label.
If the read is successful the encoder will beep and the Read a
Cardax 125 Proximity Card window will update with the
following details.
• Card number and issue number.
• Facility code assigned to the card.
Click OK and try reading the card again or click Cancel to return to
the main window.
Place each Smart Card in turn on the read/write area of the Cardax
Smart Card encoder indicated by the icon.
Note:
It is important that the card physically touches the read/write area
on the face of the Cardax Smart Card encoder during the whole of
the read process.
Chapter 7: Reports
Reporting Facilities
There are two main types of reports available in Encoder III.
Audit trail allows you to view all the activities that have been
performed in Encoder III.
View PINs allows you to view and print PINs for each facility
code.
Both report types are selected using tabs in the main window.
Audit Trail
Select the Audit trail tab in the main window to view a record of
all activities in Encoder III.
Sorting Activities
To sort the Audit trail activity listing, click on the header text of
the column you want the listing sorted by. This function works for
the following column headers:
• Site The site number is the facility code allocated to the site
name.
• Date
• Time
• Operator The operator number is automatically entered by
Encoder III when you create a new operator. Each operator has a
unique number.
Selecting Activities
You can select one or more activities in the list of activities and
archive, copy or delete the selection.
Continuous List
To select a continuous list of activities click on the first action you
want to select.
All the actions between the first and last selection will be added to
your list.
Non-Continuous List
To select a non-continuous list of activities, follow these steps.
• Click on the first activity you want to select.
• Press the Ctrl key and click on each activity you want to add.
Copying Activities
Once you have selected a list of actions you can copy the list to the
Windows clipboard. This allows you to paste the list into another
Windows program such as a spreadsheet or text file.
Note:
If you copy a second list to the clipboard your first list will be
overwritten.
Archiving Activities
Once you have selected a list of activities you can archive the list to
a text file.
Note:
You must archive activities before you can delete them.
The list is saved to the file and you can now paste it into another
program or read the archive file with any text editing or word
processing program.
Adding Comments
You can add a comment to any site activity.
For example, if you have encoded all the cards or tags for a site
except one, you can add a comment to the site activity saying "Tag
23 not encoded" as a reminder.
You can also add a general comment that does not apply to any
particular site such as "Logged off to replenish card stock".
When you select the Add audit trail comment icon, the Add
comment to audit trail window displays.
Click OK.
The comment will be added to the Audit Trail. The site number or
facility code will be inserted under the Site column.
The Site number will change to 0 and the site name will change to
No site.
Click OK.
The comment will be added to the Audit trail. The Site number
00000 will be inserted under the Site column, indicating that this
is a general comment.
Deleting Activities
Once you have selected a list of activities you can delete the list
from the Audit trail.
Note:
You must archive the selected activities before you can delete them.
Note:
If you have not archived any of the selected activities they will not
be deleted. A dialogue box will display the number of activities that
have not been deleted.
View PINs
You can view, save and print information about the PIN associated
with cards or tags. Depending on how the card or tag was encoded,
PINs will be either revealed or hidden.
If the card was encoded with the System option button set (refer
to Encoding a Single Card or Tag on page 5-1), the PIN will
show against the card number in the list.
If the card was encoded with the User option button set, the list
will display USER against the card number in place of the PIN.
6. To save the list of PINs, select File in the Print PINs to group
box. A standard Windows Save dialogue box will display. Use
it to save the list of PINs to a text file.
7. You can print the PINs to any printer that is supported by
Windows.
