CHAPTER 1
1.INTRODUCTION

1.1 Motivation

In today's world, campus placements are a crucial aspect of a student's academic life. Final
year students eagerly anticipate the placement season, as it is an opportunity to secure a job
and begin their career. However, the process of applying for placements can be
overwhelming and confusing, especially when there are technical glitches or issues with the
application process. As final year students, we have access to a dedicated placement portal
through which we can apply for job opportunities. However, while waiting for results, some
students face common issues and have queries that they need to address. For instance, ten
students may have the same issue with a company such as TCS, leading to fifty queries
being sent to the CDC (Career Development Center) admin. It becomes impractical for the
admin to reply to each query individually. To address this problem, we came up with the
idea of building a portal that filters out common queries and provides a single reply for
each. We divided the queries into regular, dream, and super-dream queries, each with a
maximum limit of ten issues. We then used smtp.js to send a single email to all students
facing the same issue. The portal's primary objective is to reduce the number of queries sent
to the placement cell, thereby easing the burden on administrators who would otherwise
need to respond to each query individually. By filtering and addressing the most common
queries, the portal saves time and resources for both students and administrators.

2. BACKGROUND SURVEY

2.1 International Status:

In the global context, student placement systems are undergoing a significant transformation
driven by the adoption of advanced technologies such as Artificial Intelligence (AI) and
Machine Learning (ML). Countries renowned for their advanced education systems, such as
the United States, Canada, and various European nations, are leading the way in implementing
smart placement systems. These systems are designed to streamline the recruitment process by
automating tasks like candidate screening and job matching. By leveraging AI and ML
algorithms, placement authorities can make data-driven decisions, enhancing the efficiency and
accuracy of candidate selection. These pioneering efforts aim to optimize the recruitment
experience for both students and employers, fostering better outcomes and improving the
overall effectiveness of placement processes on a global scale.

2.2 National Status:

In the national landscape of India, there's a discernible shift towards digitization and
modernization of placement processes within educational institutions. While numerous
universities and colleges have initiated the adoption of online platforms to manage placement
activities, the extent of implementation varies across institutions. Despite this progress, there
remains a substantial gap in the deployment of comprehensive placement management systems
9

that effectively cater to the diverse needs of both students and placement authorities. This
indicates a pressing need for further development and integration of advanced technologies to
bridge the existing gap and enhance the overall efficiency and effectiveness of placement
processes across educational institutions in the country.

2.3 Summary of Literature:

The summary of literature underscores a consistent emphasis on the development of smart

placement systems in academic research. These systems harness technologies such as Internet
of Things (IoT), Artificial Intelligence (AI), and Machine Learning (ML) to automate different
facets of the recruitment process. Researchers have elucidated the advantages of these systems,
notably in diminishing manual labor, refining accuracy in candidate selection, and augmenting
overall operational efficiency. Existing studies predominantly concentrate on the development
and evaluation of system performance, revealing favorable outcomes concerning accuracy,
speed, and user satisfaction. This collective body of literature underscores the transformative
potential of smart placement systems in optimizing recruitment processes within educational
institutions, paving the way for enhanced outcomes for both students and employers alike.

2.4 Research Gap:

The research gap identified in the existing literature pertains to the absence of comprehensive
attention towards student query management systems within the context of smart placement
system development. While significant progress has been made in automating various aspects
of placement processes, there is a noticeable oversight concerning the specific challenges
associated with addressing student queries during the placement phase. Existing literature
predominantly concentrates on the automation of placement processes, relegating the
management of student queries to the background. Consequently, there exists a dearth of
research focused on the development of dedicated platforms tailored towards efficiently
managing and responding to common queries faced by students. This research gap underscores
the pressing need for further exploration and development in the area of student query
management within the context of smart placement systems, with the potential to significantly
enhance the overall effectiveness and user experience of placement processes in educational
institutions.

2.5 Objective:

The primary objective of this study is to develop a comprehensive Student Placement Query
Management System that addresses the common queries faced by students during the
placement process.

- The system aims to streamline communication between students and placement authorities,
thereby reducing the burden on administrators and improving overall efficiency.

- Specific objectives include:

1. Designing and implementing a web-based platform for query submission and management.

2. Developing algorithms for query categorization and prioritization based on query type and
urgency.

3. Integrating communication channels such as email and notifications for prompt response to
10

student queries.

4. Evaluating the effectiveness of the system in reducing query resolution time and enhancing
student satisfaction.

- Through these objectives, the study seeks to contribute to the advancement of student
placement processes by addressing the critical aspect of query management.

3. PROJECT DESCRIPTION

• The portal's primary objective is to reduce the number of queries sent to the placement cell,
thereby easing the burden on administrators who would otherwise need to respond to each
query individually.

• By filtering and addressing the most common queries, the portal saves time and resources
for both students and administrators.

• The project is a web-based platform that filters out the common queries and provides a
single reply to all students who face the same issue, thereby reducing the burden on
placement authorities

3.1 Technical Specification

• The backend of the platform is built using Node.js, Express.js, and MongoDB. Node.js is a
JavaScript runtime environment that allows for the creation of scalable server-side
applications. Express.js is a web application framework for Node.js that simplifies the
process of creating web servers. MongoDB is a NoSQL database that is document-oriented,
which means that data is stored in JSON-like documents. This makes MongoDB a good
choice for storing the queries and responses for this project, as the data is likely to be
unstructured.

• The frontend of the platform is built using HTML, CSS, and JavaScript. HTML is the
markup language that is used to structure the content of a web page. CSS is the styling
language that is used to control the appearance of a web page. JavaScript is a scripting
language that can be used to add interactivity to a web page.

9. CONCLUSIONS & FUTURE SCOPE

Conclusion:
In conclusion, our project aimed to address the common queries faced by students during the placement
process. We developed a web portal that efficiently filters out the common queries and responds to them
through a single email. Our implementation follows an iterative approach with a focus on data gathering,
filtering, and email response. We also suggest future work that involves the integration of machine learning
and natural language processing to cater to customized queries. Our project utilized various technologies
such as MongoDB, Express, Node.js, HTML, CSS, JavaScript, and SMTP.js for email services. The
development of the portal significantly simplifies the communication process between the CDC admin and
the students. It also reduces the workload on the CDC admin by providing them with a single response to
multiple queries. We have observed that the implementation of the portal can save a considerable amount
of time and energy, which can be put to better use elsewhere.

Future Scope:
There is a significant scope for future work in our project. The current implementation is focused on
addressing the most common queries faced by students during the placement process. However, there is a
need to include customized queries that might not have been considered. One way to cater to this need is to
integrate machine learning and natural language processing into the system. This integration can help us
identify and categorize customized queries and create an appropriate response. Another area of future work
is the scalability of the system. While the current implementation is sufficient for our needs, it may not be
able to handle large volumes of queries. Therefore, we need to develop a system that can scale with
increasing volumes of data. This could involve the use of distributed databases or other cloud-based
technologies.
Furthermore, we can explore the possibility of integrating chatbot functionality into the system. A chatbot
can help students navigate the portal and provide them with quick answers to common queries. This
integration can further reduce the workload on the CDC admin and provide students with a more seamless
experience.
In conclusion, our project addresses a significant problem faced by students during the placement process.
While the current implementation is effective, there is scope for improvement and future work. We believe
that our project provides a solid foundation for future research in this area, and we hope to see further
development in the future.
