Responsible to: Managing Director
OBJECTIVES
To deliver a professional HR service within the organisation, by providing timely and
appropriate HR and management advice to all members of staff and internal clients.
MAIN DUTIES
General duties
To develop, maintain and deliver a high quality human resource strategy, and
advise all employees and internal clients as appropriate
To provide generalist advice and guidance to senior managers/Head of
Departments on all people management issues including employee relations,
contracts, employment legislation, recruitment, retention, employee
induction, development and reviews, joiners/leavers/transfers/maternity
leave, succession planning, and any adhoc projects which may be required
To be accountable for HR and Training and Development, ensuring that the
ICA continually develops it’s team to deliver the best services efficiently and
effectively (this includes any research or projectbased work as requested by
the Directory re changes to work practices to meet business needs, digital
dictation rollout, enhanced team working etc.).
Ensure monthly payroll information is uptodate and timely.
To review the pay and staff benefits system.
To administer and review the ICA’s Internship scheme, ensuring to appoint
highly qualified interns who meet the respective departmental requirements
as well as providing general advice to interns to make sure they gather most
valuable work experience within the ICA (incl. efficient intern induction &
motivating those responsible within each department to supply feedback in
the middle and at the end of internship period).
Performance Management
To undertake one, three and sixmonth probationary reviews with new
recruits as well as participate in annual performance reviews, with required
followup.
To analyse holiday and absence data.
To support and participate in the annual salary review process. For example,
obtain salary surveys, market information, provide guidance on preparing
review forms, amend and manipulate Excel spreadsheets and prepare letters
and documentation.
To proactively counsel and guide teamleaders and feeearners on the
performance management process to help ensure all staff meet or exceed the
organisation's stated expectations.
To address individual HR issues such as health, attendance or performance
difficulties and take appropriate action, supportive or punitive, as
appropriate.
To manage the disciplinary/grievance process where applicable.
Recruitment
To coordinate recruitment at all levels within the organisation. Conduct a
needs analysis with teamleaders, feeearners, managers etc and provide
guidance and advice on job descriptions.
To undertake interviews for staff at all levels
To build strong 'business partner' relationships with the ICA's appointed
agencies and media partners, and liaise regarding permanent and temporary
vacancies and job adverts.
To manage the recruitment process within set budgets.
To authorise recruitment invoices for temporary and permanent employees as
appropriate.
Training
In conjunction with the Managing Director, to assist with booking internal
and external training courses as approved by teamleader/Head of
Department and as agreed at staff appraisals.
to maintain individual HR files in accordance with legal requirements and to
update the HR database accordingly.
Where appropriate, coordinate course evaluation and pass to appropriate
teamleader.
SKILLS & EXPERIENCE
This is a new post that will report to the Managing Director. This position represents
the opportunity for a person with the right blend of technical and personal skills to
join us at an extremely exciting stage of our development. To be successful in this
role, you will be an experienced HR individual with the ability to influence at all levels
within the organisation. You will have experience of managing a challenging agenda
and the ability to adopt a solution focused approach. You will have knowledge and
experience of managing HR systems, processes and communications. Must have
technically strong HR advisory skills and confident advising on employment
legislation and process. You will have relevant HR managerial experience, ideally
with exposure to the public or Not for Profit sectors.
