Unit # 1 Administration and Management

1.1 Definitions and Administration:


Administration: the word administration is commonly used synonymously with the term
“management” which by virtue of its meanings is the framework of the organization.
Administration exists to help the people to accomplish the purpose they desire. In order determine
whether an organization is progressing operating effectively going on the right track, achieving
the objectives and having a group of personnel’s within its framework. Main tasks for the
administration are directing, guiding and integrating the efforts of human beings. Following are
some selected definitions of the administration. It may be defined as:
1. The administration is a process of making decisions, and initiating actions for the
achievement of certain objectives set by the organization.
2. It is a process of guiding human and physical resources into a dynamic hardworking
organizational unit that attains its objectives to the entire satisfaction of those served.
3. It is process of managing and conducting a program of activities through arrangement of
appropriate human and material resources and their proper utilization for the accomplishment
of the purposes of enterprise.

IMPORTANCE OF ADMINISTRATION:

Physical education is not an only the subject matter but a variety of activity programmers. The
trainer manager of the teams, organizer of the tournaments and in many other capacitites. Each of the
listed duties carry with it specific administrative details and that is why the study of administration is of
great importance of physical educationists

. Knowledge of administrative process is essential for the physical educators to enable them to
cope with any situation pertaining to administration. It will also help them to write reports, drafts, and
budgets and much other office routines. An understanding of this procedure will assure the co-operation
and co-ordination from the other members of the institution. For the attainment of the objectives of PE
program more purposefully efficiently and productively. The knowledge of administration is becoming
knowledge of science and the study of this science is essential for every fields of knowledge.

1.2 Types of Administration:

The word administration refers to a group of individual often called the executives. Who are
responsible for the smooth running of an organization?

Administration may be categorized by heir conception of the power and authority they possess
and how they will employ it.

Griffith has classified administration into four types, namely.

1. The Laissez Faire Administration:

This type of person is really not an executive at all. He makes little use of the formal power
of his position and makes no effort to obtain informal power. He never exerts any leadership,
never takes a stand, faculty members do what they want complete abdication of authority and
direction by the administrator is characteristics of this type of executive. The consequence of this
type of leadership is an attitude of hopelessness and very low moral on the part of the individual
staff member.

2. The Hard Boiled Autocrat:

This type of administration relies alone upon the formal power of this position. He is
absolute, coercive and employs close and continuous supervision and tight and inflexible control
over individual and group behavior. He is not interested in the opinion of his subordinates and
never careful their suggestion such administration are rarely successful in a democratic society.

3. The democratic administration:

This type of administrator makes the fullest possible use of the formal power of his position
and the informal power of his personal leadership the DA respect the personalities of his
subordinates and relate himself to each staff member to obtain his maximum contribution to the
objectives of the organization. He accepts the opinion of staff members and involves them in
decision making on certain issues. Group participation is encouraged, Freedom of action prevails
regular staff meeting are scheduled. Period evaluation action of programs and progress toward
goal is made effective communication is provided. In this type of administrator, good human
relations are stressed.

4. The father type:


This type of administration is friendly approachable and understanding. He looks after the
needs of his staff member and he wants them to bring their problem to him. He takes interest
in each individuals and he never forgets to praise excellent work. Morale and productively
under such doesn’t take advantage of their experience and insight.
1.3 Qualifications, traits and Duties of the administrator:

Qualities he defined in personality and professional. Most authorities on administration have


described the personal characteristics that are essential or helpful to administration. Positive, wholesome,
commendable human qualities are essential for prospective administration

1. Administrative Mind:
The person who want to quality the process of selected administer it is necessary for that
person his mind should be administrative in this sense that he can think constructive and in
positive sense.
2. Integrity:
It is one of the most important qualities for the administrator. For achieving the objectives of
an organization and gaining the confidence and getting co-operation from the staff it is
necessary that the administrator should be integrated. He should be honest and sincere with
his work and also staff member.
3. Ability to instill good human relationship:
The administrator must be able to develop good working relation with the among the staff
and with other department. He should be able to provide friendly climate and working
atmosphere to his working and colleagues, where the individuals could work with a sense of
protection, satisfaction and with the entire potentials.
4. Ability to make decision:
A good administration should be able to decide the matters with authority and confidence, he
must be able to distinguish between the important and immediate relevant and irrelevant. He
should be able to arrange the program that is better for the future development of the
institution.
5. Health and fitness for the
It is saying of the Socrates that the people in a bad state of health do often make wrong
decision. Administration should have the qualities of endurance, temple and good behavior
for working long hours.
6. Willingness to accept responsibility:
A good administration knows about his responsibility. He uses all his energies for the success
of the program he should aware about all kinds of matter is able to adopt the matter with the
sense of full responsibility.
7. Understanding of work:
For achieving the success of any work, it is necessary for a good administrator that he should
be well aware about the relevant and irrelevant work of administration he should also be
aware that can of the ways or means that can help in understanding and accomplishing the
works.
8. Educational Edges:
He should the educational edges among the other staff members so that all staff members will
be remaining impress and he should be well skilled.
9. Intellectual capacities:
An administrator must be intellectually competent, a should be able to think logically, he
should be able to apply knowledge effectively and communicate effectively. In
administration the term intellectual is not for intelligence but better reasoning and thinking. A
person having average intellectual power, proved be a good administration.
10. Command of Administration techniques:

(Reasoning and thinking is called intellectual)

Administrator should be well qualified and well aware about all those techniques, which
make the administrative set-up better and well functioning.

11. Physical Appearance:

A good administration should be excellent personality he should be well dressed. He should be good
looking he should be attractive personality. His physical appearance should be well and he attracts the
other people.
