CHAPTER I – BACKGROUND OF THE PROBLEM

INTRODUTION

PROJECT CONTEXT

With the advancement of technology, paying school tuition fees need to be ready for change and bring
the technology to the way of paying the school tuition in order to fast transaction with the students.

Presently, West Prime Horizon Institute, Inc. – College Department have done manually in recording
the student tuition, thereby it taking more time for keeping the record. The problem starts, based on
the data we gathered according to Finance Officer the records or data inputted for paying the school
fee in the ledger, computer in the Microsoft Excel and in the Official Receipt or OR. The records are
not inputted in only one storage. One of the disadvantage of using manual process in paying school
fees is time consuming it is because the Finance Officer input the record not only in one storage. It is
not hassle for him to use the manual recording method for recording the fees because he was already
used to his work. It is not possible to lose the data or record because of the backup copy of Official
Receipt or OR, in the Microsoft Excel. Also, according to him the records or data are being passed in
Bureau of Internal Revenue or BIR. He can prefer to use the computerized system if it is a user
friendly to manipulate. For his suggestions to the system, it needs to automatic deduct the tuition in
every transaction, separate the payment of the first and second semester and lastly, to determine if the
student is a full scholar or a partial scholar.

PURPOSE AND DESCRIPTION

The purpose this project is to build a system about School Payment Fee system. This system
is easy to use and its simple, you just need to input the payment in every transaction. This can also
help on the students who in a hurry.

STATEMENT OF THE PROBLEM

The proponents seek to answer the following questions:

What system will be used to provide the school finance officer in recording the school tuition fee?

How to lessen the time of recording the data?

OBJECTIVES

 The main objective of the project is to develop a School Payment fee System.

 To design and develop a system that will help the School Finance Officer to make his work
effectively and efficiently.

 To eliminate and reduce paper work in office.

 By using an organize system.

SCOPE AND LIMITATION

The System is limited to the students in West Prime Horizon Institute Inc.- College
Department. The limitation of this system is to print automatically when you finished entering the
payment and it is automatic deduct to the tuition fee.

DEFINITION OF TERMS

Computerized School Payment Fee System −the system that will be used in transaction of paying the
tuition fee of students.

Context Diagram- shows on how data is being process to the said system.

Databese – A systematically arranged collection of computer data, structured so that it can be

automatically retrieved or manipulated.

Flowchart- is a type of diagram that represent as the workflow or process of the system.

GUI –Graphical User Interface

MySQL− is the container were the files will be stored.

Password – This is a secret code that a user must type into a computer to enable him access it or its
application.

PHP – Personal Home Page is a web development software that the proponents used to make a School
Payment Fee System.

Records- The data, details, documents, file, information, or reports.

School Finance Officer− one who administers or manage the School Payment Fee System.

Student – refers to the person enrolled at West Prime Horizon Institute, Inc. – College Department.
 CHAPTER II – REVIEW OF RELATED STUDIES AND SYSTEM

TECHNICAL BACKGROUND

In developing the School payment fee system the developers use different software applications.
There are some approaches that can go further to related technology of the systems.

The requirements of the system are hardware and software applications that can hold the data
programs and other information. A software (PHP) a primary platform of the system was used as the
development environment of the School payment System. Moreover, its capability to interact with
application programming interfaces, its components and controls facilitates greatly in the design of
appropriate user interfaces.

PROGRAMMING ENVIRONMENT

A programming environments is the collection of tools used in the development of software.

This collection may consist:-

These tools may be access through a uniform interface MySQL.

protection, intellectual property, marketplace issues and access.

According to Matem Mostafa (2005) the telecommunication companies need an effective and
accurate billing system to be able to assure their revenue. Billing systems process the usage of
network equipment that is used during the service usage into a single call detail record (CDR). The
billing process involves receiving billing records from various networks, determining the billing
records, calculating the cost for each billing record, aggregating these records periodically to generate
invoices, sending invoices to the costumer, and collecting payments received from the customer.

According to the article in internet “Mortgagee Notification Billing and Payment” the state farms
delivers electronic documents and accepts electronic remittance to all lenders, loan servicers, and
servicing bureaus that accept the mortgagee notification, billing and payment national standard. The

According to Cerquit financial suite Computerized accounting System they used was designed to
support basic and advanced accounting modules to simplify the accounting process, centralize
financial information, improve employees productivity, and generates accounting reports on the fly.
And already migrate accounting systems from JD Edwards, Quick Books, Peach Tree, and in-house
accounting system to Cerquit Financial Suite.

According to Michael D. Baybusky (2013), the easiest way for self-financing students to pay their
fees is through the secure online payments system. Alternatively, fees may be paid by electronic bank
transfer or cheque/bankers draft and in payment, a student may not be registered until all financial
obligations to the College may not be satisfied and if the student who has not fulfilled all financial
obligations they might be barred from obtaining any transcripts or from registering for the next
semester.
According to University of South Wales (2012) The Online Payments System are able to see all
individual invoices generated by the University’s Revenue Unit and current outstanding balance. The
students will be able to make payments directly against each invoice within the system. When
accessing the account, there may be additional processing required reducing the balance.

According to Aquino (2005). Importance of computer application in increasing day by day. In the
latest decades of the Millennium winning organization are those which are willing to integrate
business strategy and computer information technology in plying their respective trades. The use of
computer information technology results for them to be able to develop products fast and make
decisions fast, ability to have fluid organization structures, able to cope with the demanding work
force and external environment by the rapid development of innovative approaches and lastly using
information system confirms the company’s mission vision.

According to Mario B. Lamberte it is commonly known that a country infrastructure system

determines to a large extent the efficiency of the economy. In a modern economy, the payment system
is a major component of the country infrastructure system. Indeed, no country nowadays can afford to
take its payments system for granted.

with the specified amount in every transaction.
 The system shall produce a receipt as a proof of payment for every transaction made.
 The system shall be able to generate payments reports to students.

 The system shall determine if the student is a full scholar or a partial scholar.

Description of the Waterfall model

The waterfall model was the first process model to be introduced. It is also referred to as a
linear-sequential life cycle model. It is a very simple to understand and use. In a waterfall model, each
phase must be completed before the next phase can begin and there is no overlapping in the phases.

The waterfall model illustrates the software development process in a linear sequential flow. This
means that any phase in the development process begins only if the previous phase is complete. In this
waterfall model, the phases do not overlap.

 CHAPTER V –RESULTS, DISCUSSION, CONCLUSION AND RECOMMENDATION

RESULTS AND DISCUSSION

The Computerized School Payment Fee System model shows on how data is being process to the

said system. As show in diagram, Stu dents of West Prime Horizon Institute Inc, Pay

their tuition using a system. The School Finance Officer can access all the records of the

students, input the student information, it can also report and print. The admin and secondary

admin an able to use the system.

 CONCLUSION
Advancement in technology is making automation mechanical activities become a very
important aspect of our daily lives. Since the use of computer is now widespread, the adoption of this
system will make life become easier for all. This system develop in Computerized school payment fee
system that provides to the students that make easy to pay their tuition. This system was welcomed to
all user who believed it to would solve most of the problems and improve the condition in paying fees
in West prime. Hence, it was proved that this computerized School Payment fee was fit to be
implemented.

The system is much secured and to prevent the loss of the data, the database of the system has
its own security propose, and before accessing the system by the admin, he must input his
username and password

RECOMMENDATION
I would like to suggest the following recommendation for further research work and improvement
opportunities.

 The proposed system should be adopted at the school finance officer in West Prime Horizon Institute
Inc.

 The develop system will improve the condition in school payment fee.

 The system produce the receipt in every transaction.
