de Informações (SEI) na Universidade Federal Fluminense. A diplomática é a ciência que estuda a
estrutura formal dos documentos. A identificação arquivística e sua metodologia, que envolve o estudo
do órgão produtor e da tipologia documental, verifica a materialização da informação nos documentos
de arquivo, produzindo conhecimento sobre a relação dos documentos com o seu contexto de
produção. No âmbito dos arquivos universitários das Instituições Federais de Ensino Superior, a
gestão de documentos deve obedecer ao disposto na política estabelecida pelo Conselho Nacional de
Arquivos, que deve ser observada no momento da implantação de sistemas informatizados para a
produção e gestão de documentos e processos administrativos. Nesta perspectiva, discorre sobre a
implantação de sistemas informatizados de gestão arquivística de documentos, que perpassa o
mapeamento ou modelagem de processos nas instituições, analisando o Sistema Eletrônico de
Informações (SEI) no que tange ao seu ambiente de produção de documentos e processos
administrativos perante a legislação vigente e a pertinência dos estudos sobre a gênese do documento
para garantir a produção em sistemas que façam a gestão, preservação e acesso aos documentos de
arquivo. Metodologicamente, a pesquisa se desenvolveu por meio de um estudo de caso com adoção
de questionários, estudos documentais e de instrumentos de identificação arquivística. De caráter
exploratório, apresenta a aplicação da metodologia de identificação arquivística na Coordenação de
Curso de Graduação em Arquivologia, por meio dos estudos de órgão produtor e do tipo documental
“processo de dispensa de disciplinas”, além de processo mapeado. Como resultado, vem contribuir
para as discussões sobre as metodologias para a implantação de sistemas informatizados, destacando
os resultados obtidos pela identificação arquivística para otimizar o trabalho conjunto entre
arquivistas, administradores e analistas de tecnologia da informação.
It deals with the application, in the records management scope, of the methodology of archival
identification, based on diplomatic theory, to endow the implementation of the Electronic Information
System - SEI at the Federal Fluminense University. Diplomatics is the science that studies the formal
structure of documents. The archival identification and its methodology, which involves the study of
the producer and the record type, verify the materialization of the information in the archival
documents, with the production of knowledge about the relation of these with its production context.
In the scope of the archives of the Federal Institutions of Higher Education, the records management
must comply with the established by the National Council of Archives policy, which must be observed
at the moment of computerized systems installation for the production and records management and
administrative processes. It discusses the implementation of computerized records management
systems, which encompasses the mapping or modeling of processes in institutions, as well as the need
for these systems to meet management, preservation and access requirements for digital archival
documents and their metadata. It analyzes the Electronic Information System (SEI) in relation to its
environment of production of documents and administrative processes before the current legislation
and presents pertinent concepts. Methodologically, the research was developed through a case study
using questionnaires, documentary studies and archival identification tools. With an exploratory
character, it presents the application of the methodology of archival identification in the Course
Coordination of Archives Administration, through the studies of a producer and the record type
"dispensing of disciplines process", besides a mapped process. As a result, it contributes to the
discussions on the methodologies for the implementation of computerized systems, highlighting the
results obtained by archival identification to optimize the joint work between archivists, administrators
and information technology analysts.
