Method of statement.

.As we made the site visit to Al Rayyan municipality building and saw how it is
a very sensitive place of serving people in Al Rayyan area so every system and
equipment has to be working in perfect condition and to make sure that no
failure happens that cause any bad effect in serving people , so please accept
our method of statement that trying to achieve the mentioned before.
.For HVAC system :
.Normal daily procedure :
A/C technicians will check all HVAC system that are working in healthy
condition without any problem such as :
 Package units are working effectively achieving the demand cooling
temperature, belts are in good condition to avoid sudden belts cut and
no up normal noise from bearings or fan or any of components.
 Ducting and air distribution diffusers are delivering proper quantity of air
and no blockage or flexible duct cut.
 .A/C duct split or wall mounted split units to be checked for refrigerant
and any piping leak.
 Cleaning filters and fan every 1 weeks (for package units, duct and wall
mounted split units) to be on Saturday as no duty.
 Checking exhaust fans are working perfectly without any problem.

.Urgent action or calls :


.For package unit : if any sudden failure happens in any component in any
package unit it should be directly changed from the spare parts that already in
site store and if extra technicians or labors needed should be provided to site
within 2 hours to avoid any delay.
.For ducted or wall mounted split units : if any sudden failure happens in any
component in any split unit it should be directly changed from the spare parts
that already in site store and if extra technicians or labors needed should be
provided to site within 2 hours to avoid any delay.
For urgent call : if the duty already finished and an urgent call received ,
maintenance team should reach the site in maximum 2 hours to achieve the
mentioned task.
.Note :
If any spare part not available in site or will not in suppliers stock within 24
hours , maintenance engineer should give full information to Al Rayyan
municipality responsible engineer based on supplier delivery status.

.For fire fighting system :


.Normal daily procedure :
.Daily fire fighting pump room should be monitored as working in auto mode
for jockey , electric and diesel pumps.
.Main header gate valves should me in normally open mode.
.interface between fire fighting pumps and valves are ok that FACP not
showing any fault or failure related to it and if showing any to be fixed directly.
.fire fighting network (hose reels and sprinklers) should be checked for any leak
happens to avoid jockey pump from working to back up any leak.
.All hose reels should be checked that are reachable and no obstacles that may
prevent users form using at the time of fire at any point in the building.
.fire department connections to checked that are reachable and no obstacles
that may prevent fire department officers form using at the time of fire at any
point in the building.
.Fire fighting pumps and hose reels should be checked weekly by Saturday(no
duty) also its interface between fire fighting and fire alarm systems.
.At the time of weekly checking , pumps sequence to be checked , cut in cut off
for pumps , pumps readings and performance to be in good condition as per
standards.
.Alarm check valves to be checked in healthy condition at the time weekly test.
.Fire extinguishers to be checked as pressurized or not and if there is any
pressure drop to be refilled as soon as possible.
.Fire blankets to be location checked in pantries areas.
.Urgent action or calls :
.for any urgent major or minor leak or equipment failure to be rectified at once
by the fire fighting maintenance team in site and if extra technicians or labors
needed should be provided to site within 2 hours to avoid any delay.

For urgent call : if the duty already finished and an urgent call received ,
maintenance team should reach the site in maximum 2 hours to achieve the
mentioned task.
.Note :
If any spare part not available in site or will not in suppliers stock within 24
hours , maintenance engineer should give full information to Al Rayyan
municipality responsible engineer based on supplier delivery status.

.For fire alarm system :


.Normal daily procedure :
.Fire alarm control panel should be checked daily for any troubles or faults.
.If any trouble or fault found ,to check the device mentioned status to be
rectified immediately by electrical team in site.
.Early morning before duty time an evacuation fire alarm test will be done to
make sure that system is working properly.
. Weekly by each Saturday (no duty time) , exit and emergency lights will be
checked and any damaged piece will be changed.
.Weekly by each Saturday (no duty time) fire alarm system will be fully checked
to make sure that all devices are in healthy condition.
. Weekly by each Saturday (no duty time) ,Fire alarm system interface with
HVAC , fire fighting , access control and public adress systems to be checked.
. Weekly by each Saturday (no duty time) , all fire alarm detectors will be
checked for any dust causing faults (including duct smoke detector for HVAC).

.Urgent action or calls :


.for any urgent problem or equipment failure to be rectified at once by the
electrical maintenance team in site and if extra technicians or labors needed
should be provided to site within 2 hours to avoid any delay.

For urgent call : if the duty already finished and an urgent call received ,
maintenance team should reach the site in maximum 2 hours to achieve the
mentioned task.

.Note :
If any spare part not available in site or will not in suppliers stock within 24
hours , maintenance engineer should give full information to Al Rayyan
municipality responsible engineer based on supplier delivery status.

.For plumbing and drainage system :


.Normal daily procedure :
.Daily All water feed water pumps should be checked (booster pumps ,
pressure pumps) that working in good condition .
.Monitoring all piping networks and fitting that clear of any leak.
.Checking water tanks clear of any leak to avoid water waste and continuous
running of pumps.
.Checking tanks float valves working in good condition to avoid water over
flow.
.Checking electrical float valves to avoid pumps continuous working and
damage.
.Checking all sanitary wares and water mixers working properly without any
leak or damage.
.Daily a quick test for all drainage points before the duty time to be done to
make sure that there is no blockage in the drainage points (w.c , floor drains ,
wash basins……).
.At rain time , rain water outlets and pipes should be checked daily.

.Urgent action or calls :


.for any urgent major or minor leak or sanitary ware damage, to be rectified at
once by the plumbing maintenance team in site and if extra technicians or
labors needed should be provided to site within 2 hours to avoid any delay.

For urgent call : if the duty already finished and an urgent call received ,
maintenance team should reach the site in maximum 2 hours to achieve the
mentioned task.

.Note :
If any spare part not available in site or will not in suppliers stock within 24
hours , maintenance engineer should give full information to Al Rayyan
municipality responsible engineer based on supplier delivery status.

.For electrical system (lights , wiring accessories and small power) :


.Normal daily procedure :
.To check all light fixture to be working by electric switch or light control panel .
.To check all wiring accessories including electrical sockets , A/C switch ,
switched spare units , un switched spare units , water heaters switches , water
pumps switches , exhaust fans switches , industrial sockets and all other
electrical outlets that has healthy condition power source.
.To check all isolators in basement floor (fire fighting pumps , water pumps ,
HVAC equipment and any other related systems that has healthy condition
power source.
.Urgent action or calls :
.for any urgent major or minor problem, to be rectified at once by the
electrical maintenance team in site and if extra technicians or labors needed
should be provided to site within 2 hours to avoid any delay.

For urgent call : if the duty already finished and an urgent call received ,
maintenance team should reach the site in maximum 2 hours to achieve the
mentioned task.
.Note :
If any spare part not available in site or will not in suppliers stock within 24
hours , maintenance engineer should give full information to Al Rayyan
municipality responsible engineer based on supplier delivery status.
.For electrical system (LV panels , submain panels and distribution boards) :
.Normal daily procedure :
.Before duty time to check any all breakers in LV panel and all individual
breakers in panels on switch on.
.In case of main power failure , electrical team go directly to LV room to check
the status of LV panel and to determine the problem :

A. If the problem from KAHRAMAA connection we will inform Al Rayyan


municipality responsible engineer to follow with KAHRAMAA and our
team go directly to generator room to make sure that generator started
automatically and working in healthy condition.
B. If the problem from LV panel our electrical team will determine the
problem and fix it immediately.
.Weekly by Saturday electrical team will check all electrical outlets ,
sockets , isolators , lights , panels and finally to give status report for all
systems.
.Urgent action or calls :
.for any urgent major or minor problem, to be rectified at once by the
electrical maintenance team in site and if extra technicians or labors needed
should be provided to site within 2 hours to avoid any delay.

For urgent call : if the duty already finished and an urgent call received ,
maintenance team should reach the site in maximum 2 hours to achieve the
mentioned task.
.Note :
If any spare part not available in site or will not in suppliers stock within 24
hours , maintenance engineer should give full information to Al Rayyan
municipality responsible engineer based on supplier delivery status.

.For generator :
.Normal daily procedure :
.All connections coming from LV panel to generator to be checked.
.Weekly oil and filter to be checked and to start generator for working test for
10 minutes and readings will be recorded in the weekly report.

.For CCTV system , access control , QUEUE system and BMS :


.Normal daily procedure :
.Electrical engineer and electronics technician will check the following :
.Monitors of CCTV insure that all cameras are working ok and all recording
devices are working ok.
.Check all doors and gates or other access that controlled by access control
system are in good condition.
.Check monitors and microphones and main tickets machines are working in
good condition.
.Check the BMS system from work station.

.Urgent action or calls :


.for any urgent major or minor problem, to be rectified at once by the
electronics maintenance team in site and if extra technicians or labors needed
should be provided to site within 2 hours to avoid any delay.
.In CCTV system , access control and BMS systems , if urgent problem need
programming we will follow with LOOK SECURITY SERVICE company, And they
will be in site at the same day to rectify the problem.
For urgent call : if the duty already finished and an urgent call received ,
maintenance team should reach the site in maximum 2 hours to achieve the
mentioned task.

.Note :
If any spare part not available in site or will not in suppliers stock within 24
hours , maintenance engineer should give full information to Al Rayyan
municipality responsible engineer based on supplier delivery status.

.For Public address and A/V systems :


.Normal daily procedure :
.Electronics team will check all devices and equipment public address and A/V
systems and if urgent problem need programming we will follow with LOOK
SECURITY SERVICE company, and they will be in site at the same day to rectify
the problem.
.Al Rayyan municipality responsible engineer should inform us before using
theater or meeting rooms or any other places contains audio system before
one hour at least to prepare the system.
For urgent call : if the duty already finished and an urgent call received ,
maintenance team should reach the site in maximum 2 hours to achieve the
mentioned task.

.Note :
If any spare part not available in site or will not in suppliers stock within 24
hours , maintenance engineer should give full information to Al Rayyan
municipality responsible engineer based on supplier delivery status.

.For lifts :
.Any problem happens , all electrical connections will be checked if problem
not solved , AL MUFTAH ELEVATORS will be responsible to rectify the problem.
.Weekly test will be done by Saturday to check all lifts and its interface with fire
alarm.
For urgent call : if the duty already finished and an urgent call received ,
maintenance team should reach the site in maximum 2 hours to achieve the
mentioned task.

.Note :
If any spare part not available in site or will not in suppliers stock within 24
hours , maintenance engineer should give full information to Al Rayyan
municipality responsible engineer based on supplier delivery status.

.For civil works :


.Weekly , all civil items in building will be checked for any problems and to
submit a report for to Al Rayyan municipality responsible engineer to arrange a
schedule for civil works need to be done in site.
.For urgent request , to submit a report for to Al Rayyan municipality
responsible engineer to arrange a schedule for civil works need to be done in
site.

.Note :
.All mentioned tasks in the previous method of statement is general , and if we
will be responsible for the building maintenance , a weekly detailed schedule
of method of statement will be arranged.
